Avoid the Perils of Winter this year with Office 365

Snow Days...

Start your free 30 day trial right here...

This year there are rumours flying around that we could be looking at a worse winter than last year! A ‘mini ice age’ apparently. Unfortunately one of the things that you probably can expect is snow. And with snow comes the usual staff phone call ‘I’m sorry but I’m snowed in. I can’t make it in today.’

This is a nightmare for productivity and sometimes a little annoying when you are a business owner.

But why should this be a problem in this day and age?

At Eitex we are excellently placed to advise you of the options that are best suited to you and your business. With our highly qualified team of engineers and project managers we can point you in the right direction for a solution that will allow you to keep production going and won’t be heavy on the pocket.

What can you do?
There are a plethora of different technologies out there to allow you to connect remotely to your work systems. Not only that but there are also excellent ‘cloud’ based technologies that will enable you to work from anywhere in the world with an internet connection. You might be lounging by the pool rather than snowed in after all.

But which one would suit you and your business?

That’s where we at Eitex can help. Not only are we a Microsoft Cloud Essentials Partners with extensive knowledge of all the new cloud based technologies but we are also aware of the different methods that are available for remotely accessing server environments and even desktops.

Isn’t all this expensive?
With the excellent advice that you can gain from talking to us at Eitex it doesn’t need to expensive. By approaching the problem from a logical prospective you don’t purchase IT, you purchase a solution that suits your business requirements.

And when the snow has gone?
This is the best part. Why should it only be on ‘snowed in’ days that you should have remote facilities? After getting the best advice from Eitex you will be able to utilise the technology every day and at the same time will be pushing your business forward with up to date, reliable and advanced technology. And all the time it won’t punish you pocket. No more huge pay outs for server upgrades or network rebuilds.

And by the way… if you buy your ‘cloud’ based technologies from Eitex then we will support it for FREE with our Standard Desktop Support Packages.

I keep hearing about the cloud, but what is it?

Traditionally a network for a small to medium sized business consists of one or more servers, and a number of client machines / laptops etc. Today this largely remains the same, however the cloud is available as a viable option to replace servers and / or services on the network, but what is it?

Essentially the cloud is a large number of servers which are stored in a data centre by companies such as Microsoft, Google, Amazon, Apple and such like. These servers offer tools, email, backup facilities, file sharing, online applications and much more which are often driven by your web browser. Your web browser (Internet Explorer, Google Chrome, Firefox, Safari) is essentially a window through to the data centre where the product or service resides.

Largely the functionality and user experience remains the same for the end user. Applications which are driven via your web browser and designed to look and feel like they are an application, and people begin to use them naturally. The main difference is at the back end, where the servers are.

When we explain the cloud to our customers we begin by explaining the role of an email / Exchange server, as this is something which most companies have, and is something which is easy to explain. The Exchange server traditionally sits on the network and provides clients with email, this is something most users can visualise. Now imagine moving that server to Microsoft, Microsoft will look after the server for you, and the functionality on your network will remain the same. Users typically will not notice a difference. This very basically is Exchange in the cloud. The next thing we explain is that Microsoft won’t use your server, they will use their own, and Exchange in fact will be stored on several servers not just one, and probably will span across two or more data centres.

The benefit of this is that the system is far more resilient than any system you could economically build for a small or medium sized business. Another advantage is that the software is managed, maintained and updated by the software provider which saves money on IT Support.

What happens to your old computers?

When your PC’s are upgraded or replaced we are able to remove your old computer equipment. But what happens to the data and components?

Data Security:

Data security is paramount, especially considering some of the firms we deal with including law firms, accountants, charities etc.

Every single hard drive goes through a rigorous process to ensure your data is completely destroyed. This either involves ‘data shredding’ on the drive using special algorithms. This leaves the drive in a usable state for reusing elsewhere. If the drive doesn’t work, or is simply too old, it is physically destroyed.

The Environment:

Eitex are a Low Carbon Business and do everything in their reach to protect the environment.

Computers which are reusable are refurbished and provided to charities, underprivileged and / or elderly people.

Older machines which are beyond economical repair are broken down for their components which are used for PC repairs and such like.

Hardware which is out of its useful life is broken down into component parts. Aluminium, Steel and Circuit boards are processed back into raw materials which are then re-used either in PC manufacture or something else.

No hardware is exported to developing countries due to pollution and environmental impact.

We ensure that any waste which we are simply unable to do anything with is disposed of in an environmentally friendly manner according to the REI and ICER codes of conduct and the UK WEEE Directives, which proves commitment to waste minimisation.

If you would like to arrange collection of your old PC’s please get in touch. The service is free of charge if replacing with new computer equipment!

IT solutions can make a massive difference to businesses and where they locate themselves operationally.

A new home for Eitex...

Eitex is growing very quickly as a business. When the business started in 1997 it has always been focused on offering high quality IT Support to clients large and small, as well as the provision of IT equipment such as computers, servers and laptops.

Moving forward Eitex has ventured out into new areas of business which include Microsoft CRM (Customer Relationship Management), Microsoft Lync (Unified Communications) and Sage software.
The hub of the business, the IT Support helpdesk will act as a hub and offer logistical planning and take support calls for IT, as well as Microsoft CRM and Lync.

In addition the company is developing a franchise network to resell its products and services across the country. The first 2 pilot franchises based in Bradford and Blackburn have done very well indeed, phase 2 of the franchise development is now due.

“The new services and expansion require lots of extra space commented Dean Spencer Managing Director, we didn’t want to get tied down by lengthy lease agreements and landlords, so we decided to buy our own place. The new offices which are called The Meeting Rooms have 2 large open plan studios, one for the helpdesk and workshop, the other studio is to be used for CRM and Lync. Surrounding offices and communal areas are for admin and recreation / rejuvenation. This is a very exciting time for us”

IT Support Company Helps Lancashire Students Improve Communication Skills

Lee Hezzlewood, East Lancashire Regional Director of national IT Support company Eitex has been spending time back in school.

When Darwin Aldridge Community Academy asked for volunteers for their Words for Work program from local businesses, Lee whose business interest also include being a director of IT Security Specialists Secure Thinking, put himself forward without really knowing what he was letting himself in for.

"My initial understanding was more around helping the students with written communication," said Lee. "But when we attended our training it became apparent that the program had wider goals - to help the children with all aspects of verbal and non-verbal communication."

The Words for Work program is part of a national scheme intended to improve the communication skills of year 9 children (13-14yrs) and involves business volunteers showing the students how key communication skills are used in the real world of work and business.

The program at Darwin Academy consisted of 8 volunteers working with the students for 6 weeks. The first week the students made a presentation to the volunteers and then had their presentation skills and performance assessed with recommendations from the volunteers on how to improve their approach.

The second week involved the students and volunteers interviewing each other with ideas and suggested improvements again passed.

Over the remaining 4 weeks the students and the volunteers split into groups with the objective of creating a product highlighting good communication skills and then presenting it to the other groups.

The final week was supposed to be where the groups each presented their product to the other teams.  But unfortunately one of the groups hit a rather major snag, as Lee explains.

"Our group was making a short slide-show based film with sound effects and music.  Unfortunately, the finished product was placed on a USB memory stick in the care of one of the students who didn't make the session.

"It left the other members of the group devastated and they were worried how they were going to get around it!"

By a twist of fate, the school had decided to do yet another presentation of the products to a wider audience including the Principal Mr Loughran, and so an additional date was added to the program.

"This gave us a great way to  turn our disaster into a massive positive.  So between Imelda O'Keefe of IMS Coaching [the other volunteer in the group], the students and myself, we decided that the "Release Date" for our film would be after Easter and so we left the audience with a little bit of background on our project and a teaser as to what the final product will be like," said Lee.  "All the volunteers thought this was the best lesson the students could have learned - how to turn what should have been a disaster into a really positive outcome."

The final presentations will now be held on the 6th May at Darwin Aldridge Community Academy.

All the jigsaw pieces, in one place

Having seen hundreds of companies you realise that patterns begin to form. Inefficiencies and bad habits repeat over and over.

I don’t believe though that companies wish to operate in this way, they are simply made to do so by the software they use. This is not to say the software is bad, quite the opposite, the problem though seems to be interoperability between applications.

Applications which we see often are:

Sage 50 – for Accountancy, Sales Order and Purchase Order Processing

Microsoft Office
    Word - Word processing
    Excel - Financials / budgets / forecasting / calculations
Outlook - Used for emailing, Appointments, Contacts
Access - Database application used for storing information

A CRM (Customer Relationship Management) product, usually one of the following:

Microsoft CRM
Sage Act
Goldmine

Industry Specific Software

Almost all of the software we come across is very effective, but seems to work independently to the next. Because of this islands of data are created in each application which usually has to be copied and pasted from somewhere else. Company and Contact information for example is stored in Sage, and in Outlook, maybe in Microsoft Access, and in CRM. Sales Order information may be replicated and stored in Sage, CRM, Access, Excel maybe?

I don’t believe companies can see the impact that these inefficient processes have on their businesses. Additional man-power is employed to cope with busy and hectic workloads, which simply don’t need to be that way. It just seems to be the norm, and is accepted by almost everyone.

There is a better way:

By taking one common application which is or can be used by everyone is the starting point. For this we generally recommend Microsoft CRM. Why? Well MS CRM can integrate with Sage, fits in nicely to MS Office and Outlook, connects with database systems and more.

With MS CRM you can therefore view different information, from different applications all in one place.

Ok granted, sometimes ‘middleware’ is required to interface between one application and another, but the cost of such systems can be insignificant if measured against the benefits:

- Imagine if you were able to cut down your labour costs, or admin costs which are continual cost savings

- Imagine if you had all your company information at your fingertips, all in one place, all instantly searchable

- Imagine if you could produce quotes, proposals, orders in seconds, rather than minutes, or even hours

- Imagine if you could access the same information from your mobile phone, laptop, at home, abroad, anywhere

- What if you could present information back out to your clients?

The next step:

We don’t offer a revolution out of the box. We recommend a staged approach which starts by mapping your processes, and streamlining them with the use of efficient technology.

In the current market every penny counts, don’t pay wages to cover inefficiencies in your business, get lean and get efficient.

National IT Support Company Helps East Lancashire Graduates

Eitex, a national IT Support business with offices in Nelson have improved the prospects of at least one local graduate by utilising the services provided by Pendle Borough Council’s Graduate Placement Scheme.

The scheme is designed to help local graduates find employment with local businesses, ensuring skills and experience is retained in the region whilst boosting the local economy.

Lee Hezzlewood, the Regional Director in charge of the Lancashire side of the business said “Although our Lancashire IT Support services are new for the organisation, we had a requirement to take on additional resources.  There is a growing demand in the region for quality IT skills, particularly as more and more businesses attempt to make use of technology to improve their effectiveness and profitability.”

Marc McKinlay is the lucky graduate who was snapped up by Eitex, and Lee continued, “Marc has a range of skills and experience, which when added to his qualifications, bring significant benefits to our business and will enhance the quality of service we provide to our clients.”

Marc joined Eitex on the 1st of March and, after spending a couple of weeks training at Eitex’s UK Support Centre in Batley, Leeds is now fulfilling the role of 2nd line local support for Eitex customers across Lancashire and providing remote support to customers across the rest of the UK.

Protecting Your Information - Laptop Encryption

At Eitex, we are being asked more and more about how busy professionals can protect the business critical and often sensitive information they carry around on laptop and netbook computers.

The simple solution to this problem is to encrypt the laptop disk drive so that only the owner of the computer can access the data.

Most computers have a password which is used to prevent access to the software, applications and data in a casual fashion.  Passwords, and particularly strong passwords* are a vital component in preventing unauthorised access to information and applications.  However, they only protect systems that remain in the physical possession of the owner.

Once physical possession is compromised, as in the case of a lost or stolen computer, then there are ways of bypassing the logical access controls imposed by usernames and passwords.  Such bypass techniques can be as simple as using a brute-force password cracking tool or just simply removing the hard disk drive from the machine and plugging it in to another computer.

This can be a particular problem in the case of mobile computers, where the opportunity for loss or theft is far greater than machines protected by a secure physical environment.

Encryption of the hard drive can protect against the dangers highlighted above.  It means that, in effect, if the computer is lost or stolen, the data cannot be accessed by the new owner without the password or pass phrase used to perform the encryption.  In addition, where whole disk encryption is utilised, the system cannot even be started unless it is completely reinstalled - overwriting any data on the disk drive.

So if you want to protect your mobile computers, or even your office based ones should you feel the need, then contact Eitex and we will be more than happy to go through your requirements and help you decide on the best solution for your business.

* Strong Passwords should be at least 12 characters long and consist of upper- and lower-case letters, numbers and special characters such as !'#@"£$ etc.  They should not be made up of dates, names or dictionary words - even obscure ones!

IT Support Blackburn

National IT support firm opens new Lancashire franchise operation.

Eitex, originally set up in Batley West Yorkshire to provide IT support services to local businesses today announced the launch of a new franchise operation in the Blackburn area of Lancashire.

The new business franchise continues the Eitex philosophy of being the “UK’s local IT service and support provider”, allowing it to provide local support services with the backup of national infrastructure and a team with complementary skills.

“The launch of our Blackburn office is great news and extends our reach further, in line with our UK wide expansion programme”, commented Managing Director Dean Spencer.

“Our Bradford office, which launched last year, is doing fantastically well and having Lee Hezzlewood on board to oversee the Blackburn franchise, with his security and businesses expertise, adds to our already extensive set of skills.”

Lee is currently undergoing franchise training in Batley before formally opening the Blackburn office. His background includes many years working as an IT consultant for Blue Chip Companies, and as an IT security consultant before setting up his own Information Security business “Secure Thinking” last year.

“The Eitex franchise presented a great opportunity for me to join a great team whose attention to detail and quality of service will help businesses in the Blackburn, Burnley and surrounding areas better manage their IT systems”, said Lee Hezzlewood.
